Privacy Policy

Effective Date: 22 June 2026

Last Updated: 22 June 2026

At Chatloop.io (“Chatloop”, “we”, “us”, or “our”), we value your privacy and are committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and share information when you visit our website https://chatloop.io (the “Site”) or use our customer engagement and chatbot service (the “Service”).

By using the Site or Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

We collect the following types of information:

  1. Personal Information: When you sign up for the Service, we may collect your name, email address, and any other information required for registration.
  2. Payment Information: Payments for the Service are processed via Stripe. Chatloop.io does not store or handle any payment card information. Stripe collects and processes payment details directly.
  3. Usage Data: We may collect data about how you interact with the Site or Service, such as IP addresses, browser types, device information, and other analytics data.
  4. Information You Connect from Third-Party Services: Where you choose to connect a third-party account (such as a Google account) to the Service, we access only the data necessary to provide the features you have enabled. This is described in detail in Section 4 below.

2. How We Use Your Information

We use the information we collect for the following purposes:

  1. To provide, maintain, and improve the user-facing features of the Service.
  2. To communicate with you regarding your account, the Service, and customer support.
  3. To process payments through Stripe (we do not store payment card information).
  4. To comply with legal obligations and protect our rights and the rights of our users.

3. Artificial Intelligence and Your Data

Chatloop.io uses artificial intelligence to power conversational and customer engagement features. Some AI features are delivered using third-party model providers, including OpenAI.

When AI features are used, your data is processed only to generate the response or perform the action you have requested in real time. We do not use your personal information — and in particular we do not use any Google user data — to train, fine-tune, or develop AI or machine learning models. Our agreements with third-party AI providers prohibit them from using data submitted through their APIs to train their models.

4. Google User Data and Limited Use

If you connect a Google account to the Service, we may access certain Google user data through Google APIs, strictly to provide the features you have chosen to enable. Depending on the integrations you activate, this may include:

  1. Basic profile information (such as your name and email address) to create and authenticate your account.
  2. Google Calendar data to enable scheduling, availability, and booking features within the Service.

We only request the minimum scopes necessary to provide these features.

Chatloop.io’s use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, Chatloop.io affirms that:

  1. We only access, use, and store Google user data to provide and improve the user-facing features of the Service.
  2. We do not use Google user data to develop, train, or improve generalised or non-personalised artificial intelligence or machine learning models. Where features rely on third-party AI providers such as OpenAI, Google user data is processed only to deliver the requested feature and is never used to train those providers’ models.
  3. We do not transfer or sell Google user data to data brokers or information resellers.
  4. We do not use Google user data for advertising of any kind, including personalised, retargeted, or interest-based advertising, nor for determining creditworthiness or for lending purposes.
  5. We do not allow humans to read Google user data, except: with your explicit consent to view specific data; where necessary for security purposes (such as investigating abuse); to comply with applicable law; or where the data is aggregated and anonymised and used for internal operations.

5. How We Share Your Information

We do not share or sell your personal information to third parties, except in the following situations:

  1. Service Providers (Sub-processors): We may share information with trusted third-party providers who help us deliver the Service, including Stripe (payment processing) and OpenAI (AI processing). These providers may only use your information as necessary to provide their service to us, and are bound by confidentiality and data protection obligations.
  2. Legal Requirements: We may disclose your information if required by law or to comply with valid legal processes.

We do not transfer or disclose Google user data to third parties for any purpose other than providing or improving the user-facing features of the Service, except as required by law or with your consent.

6. Data Retention and Deletion

We retain your personal data and any connected Google user data only for as long as necessary to provide the Service and to fulfil the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

You can disconnect your Google account at any time, which revokes our access to your Google user data. When you disconnect an integration or close your account, we delete the associated Google user data within a reasonable period, except where retention is required to comply with legal obligations or to resolve disputes.

You may request deletion of your personal data at any time by contacting us at [email protected].

7. Your Rights

You have the following rights regarding your personal data:

  1. Access: You can request a copy of the personal data we hold about you.
  2. Correction: You can request that we correct any inaccurate or incomplete information.
  3. Deletion: You can request that we delete your personal data, subject to certain legal exceptions.
  4. Objection: You may object to the processing of your data in certain circumstances.

To exercise these rights, please contact us at [email protected].

8. Security

We take reasonable technical and organisational measures to protect your personal information, including Google user data, from unauthorised access, loss, or misuse. These measures include encryption of data in transit, access controls, and restricting access to authorised personnel only. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

9. Cookies

We may use cookies or similar tracking technologies to enhance your experience on our Site. You can control cookie settings through your browser preferences.

10. International Transfers

If you are located outside the United Kingdom, please note that your information may be transferred to and processed in the United Kingdom or other jurisdictions where our service providers operate. By using the Site or Service, you consent to this transfer, which is carried out with appropriate safeguards in place.

11. Changes to This Privacy Policy

We reserve the right to update this Privacy Policy from time to time. We will post any changes on this page with an updated “Effective Date”, and where changes materially affect how we use Google user data, we will notify affected users. Please review this policy periodically for any updates.
